A **group scheduling resource** is a resource that is only used for scheduling. It groups employees by position and combines their capacity to give an accurate view of the available hours when building out a schedule and booking resources to tasks.

Group scheduling resources are created in the **resources **module and are usually controlled by a system administrator, designated role(s) or person(s) within your agency.

## HOW THEY WORK

Assigning group scheduling resources to tasks allows for accurate capacity forecasting. 

For example, if you have three employees with the position “Copywriter” and each of these employees has a capacity profile of 40 hours a week (working hours = 8 hours a day, 5 days a week), the potential capacity for the group scheduling resource “copywriter” for a week would be 120 hours.

## CREATE A GROUP SCHEDULING RESOURCE

To add a new group scheduling resource go to:

- **Resources **module > **employee settings grid **> click **add new resource **button

- Complete the necessary **new employee fields**

> 📝 Because creating a group scheduling resource is the same as creating an employee in WorkBook, there will be some mandatory fields that need to be completed, refer to our guide below

| **FIELD** | **DESCRIPTION ** |
| **Company*** | Select the **company** the group scheduling resource belongs to |
| **Name*** | **Name** of the group scheduling resource e.g. *Senior Producer<br>> ✅ <u>Tip</u>: we recommend putting an ***** in front of the Resource Name which will make it easier to find these resources when scheduling. |
| **Initials*** | This will auto-populate, but can be amended |
| **Email*** | Leave this as the default: **.dk** |
| **Profit Centre*** | Select a **profit centre** from the drop down |
| **Title*** | Select the **position** you’ll be matching the Group Scheduling Resource to |
| **User Type*** | Select **Scheduling Resource (access denied)** |
| **Report Profile*** | Select a report profile from the drop down<br>> 📝 Group scheduling resources do not have access to reports so it does not matter what you select here. |
| **Timesheet Approver*** | Select a timesheet approver from the drop down<br>> 📝 Group scheduling resources do not do timesheets so it does not matter what you select here. |

- There is no need to complete any other fields
- Click** ok**

## LINK A GROUP SCHEDULING RESOURCE TO A POSITION 

For accurate capacity forecasting, you must link a group scheduling resource to a position. Positions are found in the **settings **module and are controlled by a system administrator.

- Go to **settings** module > **employee settings** > **positions**
- And **assign** the group scheduling resource to the correct position
